I hope you already save your work in inventor dwg and not idw.
Autodesk is pushing to save the "dwg inventor" drawings a little lighter but they release you to use that brute program of inventor view and above all they are manageable and compatible also by third-party software without forgetting the compatibility with handhelds and webcad.
so having a dwg file and untied by that software I absolutely recommend using dwg true view from 2013 onwards that it is much lighter to open up ( download it from the autodesk site free) and you can see both inventor and autocad designs but especially your boss can look at them on his car without using yours.

As for coding we have created a talking encoding with families and subfamilies and 4 progressive numbers to each family corresponds to a type of piece.

I recently started using the vault to be able to receive with i-proprieties, first I used a foliage of excel where I inserted all the different components of the "finished" projects and some filters to go to find the code of the file to be found

excel is not the maximum but it is done quickly enough to flatten a handful of distinct exported by inventor and to set up some search filters
